Community Engagement Coordinator:
REPORTS TO: Community Engagement Director

We work collaboratively with private companies, employees, and non-profit partners to create and promote support to cause lasting change in conditions for our community. Our bold goal issue is reducing poverty – more specifically – 10,000 more working families will meet their basic needs by 2025. Our targeted focus is ALICE – families who are asset-limited, income constrained, and employed, sometimes referred to as the “working poor.”
Working with the Program Team, the Engagement Coordinator will be responsible for key functions of the Volunteerism Department including recruitment, registration, expanding service to corporate partners, and promotion of volunteer opportunities within agencies. To be successful in this role, one must focus on annual program strategies to achieve individual goals, strengthen a culture of volunteerism for our community, and develop and execute annual plans to achieve organizational goals. Additionally, one must take initiative, have strong attention to detail, work independently, demonstrate leadership, and embody United Way’s core values.

Key Responsibilities Include:
1. Volunteer Services
- Field and respond to new volunteer inquiries and requests of opportunity to serve.
- Serve as point of contact for any new and/or established volunteers who are directed to agencies through the United Way of the Lakeshore.
- Provide additional support to the Community Engagement Advisory Council.
- Assist with volunteer management capacity building training programming promotion, recruitment, and registration.
- Work closely with staff to plan, promote, and manage year-round workplace engagement activities such as item drives, group service projects, etc.
- Work with marketing and communications staff to promote United Way volunteer needs through an online searchable database, newsletters, community presentations, etc.
2. Support the United Way of the Lakeshore’s Impact Model Through Service
- Responsible for ensuring volunteerism activities and services are compliant with the United Way Equity Framework.
- Explore opportunities of service that support and impact community issues that are prioritized by the Community Impact Strategy Team and other key stakeholders.
- Empower and support volunteers that help promote and produce United Way programs and events including but not limited to Day of Caring, Day of Action, DTE Summer Youth Internship Program, Light Up the City, Reading Buddies, Coffee & Conversation, United Way Community Clean Ups, and Rake A Difference.
- Be a staff liaison for at least one volunteer affinity group and one community investment panel.
3. Database & Technology Maintenance
- Promote availability of the United Way Volunteer Software, in person and electronically, as a community resource for local nonprofits, programs, and organized events to recruit and place volunteers.
- Maintain Volunteer Software’s online searchable database to ensure the accuracy of information and ease of use for all local agencies to recruit and register volunteers.
- Maintain and use recommended systems for volunteer registration, background checks, communication, and follow-up surveying.
- Familiarize and maintain duties in any other technological resources that may become available and could prove beneficial to the desired outcome of United Way’s mission.
4. Other Possible Duties
- Support ongoing learning opportunities to ensure that staff is up to date on nonprofit, social, economic, and political issues facing our community and how United Way’s community partnerships and investments are changing lives; and to ensure that staff understand the philanthropic needs and aspirations of employers, and United Way’s role in meeting those needs.
- Serve as an external representative of United Way’s mission, vision, and values by participating in committees, serving as spokesperson, and creating and delivering presentations to present key messages at the local, regional, and national level.
- Provide support to the Philanthropy Team by providing support to volunteers working in development spaces such as Division Chairs, Loaned Executives, and Live United Ambassadors.
- Provide additional support as the Community Engagement Director or President deem necessary.
Education, Experience, & Skills:
Education: Any combination of education, experience, and training equivalent to a bachelor’s degree from an accredited college/university.
Experience: Minimum of 3+ years of combined experience in volunteer management, event organizing, or volunteer leadership.
Skills: Proficiency in the use of computer programs for word processing, database, spreadsheets, email, and internet. Excellent oral/written communication skills. Excellent organizational skills. Candidate should possess the ability to gain a clear understanding and the ability to effectively communicate the role of United Way in the community, capacity to take a leadership role within the organization, and partnering with business, community, and government leaders in addressing human service needs in the community. Ability to work in outdoor environments when necessary. Ability to work and drive extensively in the field within the Lakeshore region.
Homeless Management Information System Administrator
REPORTS TO: Homeless Network Coordinator

SUMMARY:

The HMIS Administrator works closely with the Continuum of Care (CoC) and key community partners to build a system response and support the vision of ending homelessness in Muskegon County. Work is completed in conjunction with Coalition staff, community-based partner organizations, according to identified priorities.
The Muskegon County Homeless Continuum of Care Network, or CoC, for Muskegon County also known as MCHCCN, coordinates and facilitates planning efforts to resolve episodes of homelessness while concurrently working towards strategic goals with overarching mission of reaching functional zero, which is defined as episodes of homelessness are rare, brief, and one-time. Work is accomplished through a network of membership organizations.
This full-time position will provide overall Homeless Management Information System (HMIS) administration and analysis, to inform strategy and build capacity of the Coalition to End Homelessness in accordance with Department of Housing and Urban Development (HUD), State of Michigan, and local Continuum of Care (COC)/Coalition requirements and objectives.

PRIMARY RESPONSIBILITIES:
Oversee the functions of the Homeless Management Information System (HMIS) including:
- Responsible for adherence to all State of Michigan and Coalition HMIS policies, practices and procedures.
- Responsible for operation of the CoC's HMIS in compliance with and meeting the data and reporting requirements of HUD/HEARTH Act.
- Support the data and strategy needs of the Coalition to End Homelessness by producing data-focused reports and recommendations for planning purposes, grants, special projects, and to impact public policy.
- Guide system development by refining the local HMIS policies to respond to local need, along with state and federal mandates.
- Lead/coordinate HMIS data gathering, analysis, reporting, and formulating recommendations to Coalition/CoC Steering Committee and membership, funders, other community systems, and Coalition leadership as directed.
- Responsible for regular review of data quality reports and analysis, building capacity across CoC membership, and implementing corrective action procedures for participating agencies.
- Provide support and assistance to the CoC Director for relevant HMIS related CoC activities.
- Responsible for the submission of all local, state, and federal reports, including but not limited to: Michigan Coalition Against Homelessness (MCAH) annual count, Point in Time (PIT), Homeless Inventory Count (HIC), System Performance Measurement Report (SPM), HMIS Annual Performance Report (APR), Coordinated Entry System Report.
- Maintain the By-Name-List.
- Develop and implement training.
- Develop fact sheets, workflows, and other resources for new and advanced users.
- Coordinate and conduct one-on-one and group training both online and onsite.
- Monitor system data quality and provide technical assistance and training to local HMIS users to increase data quality efforts.
- Maintain and update the QSOBBA, and HMIS Participation Agreements as needed.
- Attend meetings, workshops, seminars, and conferences related to housing, HMIS, and CoC purpose and objectives; communicate system updates/changes to appropriate CoC membership staff and make recommendations for system improvements and targeted training for HMIS users based on knowledge gained.

EDUCATION, EXPERIENCE, AND SKILLS:
- Must be able to meet the attendance requirements of the agency.
- Education: Associate's degree preferred.
- An understanding and empathy for those experiencing homelessness.
- Proficient in the use of computer programs for accounting, word processing, database, spreadsheets, email, and internet.
- Experience with the Homeless Management Information System, or specialized data entry and reporting through a central database.

Community Relations Coordinator

To be successful in this role, one must focus on annual campaign strategies to achieve individual goals and develop and execute annual campaign plans to achieve organizational goals. Additionally, one must take initiative, have strong attention to detail, work independently, demonstrate leadership, and embody United Way’s core values.

RESPONSIBILITIES:
Workplace Campaign
- Assist the Chief Development Officer in strategically planning and implementing a year-round corporate philanthropy campaign as part of the comprehensive resource development plan.
- Develop and implement an annual workplace giving plan, specific strategies, and related analysis.
- Provide support and direction for all staff engaged in campaign activities, including training and supporting community level workplace campaign volunteers.
- Promote a cooperative spirit within the organization and among internal and external United Way participants.
- Ensure that strategies and tactics to attract new workplace and/or corporate campaigns are an integral part of departmental activities.
- Coordinate workplace campaign activities by working with other United Way departments and divisions.
- Oversee administrative aspects of workplace campaigns, including database management and timely reporting of results and other management data.
- Provide progress reports on campaign status, including recruiting, adherence to campaign timetable, strategies, and campaign results.
- Ensure proper follow-up on all campaign divisions with campaign staff to ensure timely closure of campaign (i.e., NCL results, corporate gift follow-up, troubleshooting, etc.). Make posting recommendations where necessary.
- Manage and analyze all campaign results in order to identify and influence trends.
- Monitor campaign activities within accounts in order to identify problems and opportunities and develop appropriate responses.
- Maintain good public and community relations with all major constituencies.
- Cultivate and maintain effective year-round customer relationships.
- Evaluate all campaign functions and provide recommendations for future improvements.
Marketing & Communications
- Assist the Chief Development Officer in planning and implementing a year-round public relations campaign as part of the comprehensive resource development plan.
- Design and create organizational marketing materials for the organization, philanthropy, and programs.
- Develop and produce content for electronic communications for use in the workplace campaign, donor communications, social media, website, annual report, etc.
- Continual development and maintenance of website in partnership with the Community Engagement Director as well as social media channels.
- Work cross-departmentally to actively design and pitch stories to the media on a consistent basis.
- Oversee the planning and organization of special events from the Philanthropic Giving Department; support the planning and organization of special events from the Program Department.
- Evaluate marketing and communications functions and provide recommendations for future improvements.
Volunteer Management
- Assist the Chief Development Officer in planning and implementing a year-round volunteer management program as part of the comprehensive resource development plan.
- Manage the Loaned Executive program. Design, implement, and manage orientation and training of loaned executives.
- Manage the Employee Campaign Coordinator program. Design, implement, and manage orientation and training of Employee Campaign Coordinators.
- Communicate with volunteers on a regular basis to monitor and support progress towards achieving goals.
- Ensure appropriate recognition of volunteers and donors.
- Provide exceptional customer service and problem resolution in a timely manner.
